Job Summary
• We are looking for an Executive Assistant who is fluent Vietnamese, English, and Mandarin to support the CEO.
• Duties include daily senior executive support as well as managing the office operations of an investment fund management company.
• To be successful in this role, you should be professional in appearance and demeanor, thoughtful, proactive, accountable, meet deadlines and communicate effectively.
• Our ideal candidate would be one with previous experience as an Executive Assistant in a financial or investment related company
Job Responsibilities
• Coordinate daily calendars of CEO
• Plan appointments and events
• Create regular reports and update internal databases
• Make travel arrangements
• Manage office operations, phone calls and emails
• Respond promptly to managers’ queries
• Facilitate internal communication (e.g. distribute information and schedule presentations)
• Provide support for the preparation of quotes and bids
• Assist in the preparation of presentations
• Suggest more efficient ways to run the office and troubleshoot malfunctions
• Manage expense reports
• Maintain marketing database
• Support light translation services between Vietnamese, English, and Mandarin
• Work with foreign investors and senior executives
Key Requirements
• Able to speak and write in Vietnamese, English, and Mandarin
• Proven work experience as an Executive Assistant, or similar role
• Knowledge of office procedures
• Experience with financial or construction companies preferred
• Solid experience with office apps including Word, Excel, PowerPoint, Outlook and Insightly
• Experience using office equipment, including printers (and fax machines)
• Professional image and presentable
• Strong communication skills (via phone, email and in-person)
• Experience exercising discretion and confidentiality with sensitive company information
• Excellent organizational skills with an ability to think proactively and prioritize work
