Key responsibilities
1. C&B
- Be responsible monthly payroll calculation for locals and expat, including final payment for leavers / uploading e-file on bank system / sending payslip / SIHIUI, PIT, TU payments and preparation of HR report for Finance
- Prepare and submit statutory social insurance reports
- Prepare and submit monthly / quarterly / final PIT declaration, dependant registration, tax code registration
- Prepare and submit labour report for both local staff (every half year) and expat (every quarter)
2. Health insurance and personal accident program for staff
- Work with broker on contract of HI and PA program for staff
- Update AON properly list of new joiner / leaver
- Support staff about claim procedure or benefit inquiry when required
3. On-boarding / Off-boarding
a. On-boarding
- Co-ordinate with IT, Admin to prepare logistic for new joiner (working desk, computer, phone)
- Brief induction on the first day
- Prepare and send welcome email + contact list to office
- Support new joiner to finish internal procedure
b. Off-boarding
- Inform to related person by email (direct manager, HR, IT, Finance, Admin)
- Send email of to-do list to leaver
- Prepare and send final payment calculation and get leaver’s confirmation via email
- On last working day, check Exit check list, collect Company’s stuff and necessary documents
4. Master file and staff personal files
- Update master file of both staff and interns properly to ensure the file is up to date
- Retain staff’s personal files in good order
5. Labour contract management:
- Follow up and send evaluation form to manager when staff’s offer letter or labour contract expire
- Prepare offer letter / labour contract for all official employee after probation end or labour contract renewal
6. HR Systems: Manage some HR systems: HR SAGE (joiner / leaver update function), ViewPoint (timesheet recording), E-office (leave application), Learning Management System (Group’s e-learning system)
7. Other tasks
- Support provision of HR documents for Company’s audit, ISO, ISAE
- Support career fair activities
Education Required
- University degree
- Good English speaking and writing skills
- Solid knowledge about Vietnamese Labor Code, Social Insurance Code
- Computer literate
Experience Required
- 2-3 years’ experience in HR in multinational company is a plus
