Mô tả công việc

TECHNICAL RESPONSIBILITIES
o Handle assignment of guides and the tour operation of those related bookings in North VN, including MICE/Style bookings (specific assignment will be discussed to selected candidates)
Detailed tasks are described as below:
o Preparing all the necessary works to operate the responsible bookings; checking and handling all the changes of bookings and related daily operations
o Checking and handling of e-mails, faxes and other correspondence with the booking offices about the bookings and tour programs
o Itinerary verification of new bookings and feedbacks to IB/Sales
o Supervise all guide assignment to make sure they are matched to our booking’s guide requirements
o Ensure the accuracy of guide assignment updates for all related bookings in the system according to the requirement of cost control project.
 System update: Updates guide assignment for all related bookings in the system according to the requirement of Enter Cost (guide assignment can be updated at least 7 days before tour operation; while guide’s final expenses are updated within 15 days after tour completion)
o Responsible for providing necessary tour documents and tour briefings to guides, trouble handling for tours with guides; and complaint after the tours
o Handles local sales development with supporting guides in selling optional tours and services to to achieve the targeted revenue defined by Office Manager
o Purchasing souvenirs and/or operational materials for all ad-hoc requests from IB/Sales
ADMINISTRATION LAISIONS & SUPERVISION
o Liaise with our company’s booking offices and departments (Products, Operation, Reservations, Ticketing and Customer Relations) in resolving issues pertaining to complications of tour programs
o Administer any news and information concerning destination/ tourist attraction/ sightseeing spots/ hotels/ restaurants/ transportations affected all the bookings and inform the board of director and/ or in writing
o Coordinate with Product Department in product development/ feasibilities of the tours based on operational issues with existing products or negative guest feedbacks; operational check/ validation prior to new tour operation; as well as monitoring the supplier’s service quality to meet client’s satisfaction.
o Assign the tasks and working shifts to airport representatives (upon available) on weekly/ monthly basis to make sure that all airport transfers (pick up/ drop off) are done properly
o Supervise and makes sure that all subordinated Operations staffs, including Operation assistant and Airport Representatives (upon available), fulfill their works and close booking files correctly
o Assist the subordinated Operation staffs in handling their tasks upon absence and/or requirement
o Assist the Office Manager in maintaining the good quality and professional services of guides in accordance with company regulation; in drawing the training needs for guides, and in planning of guide development (all languages) as well as annual guide classified review to meet KPI requirement
o Enhancing guest satisfaction and guide performance at average rating of 4.2 points and above
o Enhancing the communication of troubles between guides and Operation by reducing the number of cases (should be less than 3 cases/year) where the TO is informed about troubles from guests before ICS informs TO
o Perform other tasks assigned by the Office Management
RELATIONS & REPORT
o Operation Executive maintains good relationship and communication flow with all departments as well as other offices within the Company
o Operation Executive acts as the representative of the Company with the third parties in his/ her own area of responsibilities.
o Operation Executive will be reported directly to the Hanoi Office Management
TEMPORARY MISSION
o Operation Executive may be called upon to undertake activities outside his/ her own area and other than his/ her own for specific projects and/ or programs

Yêu cầu công việc

 Bachelor degree in Hospitality and Tourism is required
 Fluencies in English, both written and spoken commands are required
 Minimum 5 years’ experience in travel operation, at similar or higher position is advantage
 Self-motivation, team spirit but also able to work independently under high pressure
 Attention to the details and work toward to the results
 Creative in problem solving with customer oriented mindset
