Ensure an efficient and accurate filing system, both manual and electronic (if any) at all times.
Maintain complete and supporting records of all Events Agreements, Contracts and Quotations.
Establish an efficient trace file to ensure that all business booked is properly tracked.
Handle Sales & Marketing report on a periodical basis.
Prepare and ensure all Events Orders are distributed to involved department in a timely manner.
Conduct tele-sales calls using selling principles and unique selling points when required.
Maintain a detailed knowledge of venues’ facilities, features and services.
Meet and greet event’s organizers upon arrival together with Sales Manager / Sales Executive.
Assist Sales & Marketing teams to conduct regular market surveys and competitor researches.
Entertain and conduct site inspection for companies’ representatives/ government officials / delegated whenever required by Sales Manager / Sales Executive.
Assist Sales Manager / Sales Executive to follow-up on all matters in their absence.
Review and constantly seek productivity level improvement.
Spend time in each event to ensure that the events are managed well by Operation team.
Establish and maintain strong relationships with the established clientele and constantly explore new business opportunities.
Liaise and work closely with the related operation departments ensuring guests requests and expectations are being met.
Handle guest and employee’s inquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found and ensures a prompt follow-up.
Maintain positive guest and colleague interactions with good working relationships.
Continuously seeks ways to maximize revenues and profits by cross selling and upselling other facilities and service.
Ensure that all company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.
Conduct extensive competitor research and maintains excellent Product Knowledge of the company.
Ensure a high level of exposure for the venues through direct sales solicitation via telephone, contracts and written communications.
Maintain an updated awareness of product knowledge, current promotion, policy changes and appropriate internal communication.
Ensure the punctuality and appearance of a Sales team member. In charge of work attendance record for Sales & Marketing teams.
Participate in annual Performance Development Discussions with sales team contribute ideas to Sales Manager / Sales Executive.
Ensure high standards of personal presentation and grooming.
Maintain strong, professional relationships with the relevant representatives from competitors and other organizations, including tour operators and local travel agents.
Respond to changes in the Sales team function as dictated by the industry, and company.
Attend training session and meeting as and when required.
Carry out any other reasonable duties and responsibilities as assigned.
• Candidate must possess at least a College/Bachelors Degree in Sales/Marketing/Advertising/Media, Business Studies/Administration Management, Hospitality Management.
• Required skills: office skill (MS Word, Excel and Power Point…) sales skill, organizational skill, communication skill, multi-tasking, details oriented.
• Knowledge of food and drink is preferred.
• Fluent written and spoken English.
• At least 1-year experience as an administrator.
• Sales experience in brand hotel/restaurant/bar/night clubs in similar positions is a plus.
• Able to work in the evening when required.
• Willing to travel when required.
