I. RECEPTION
• Oversee the Reception area so that it presents a positive and professional image to our customers
• Front line reception service for visitors to the school
• Receive, direct and relay incoming calls
• Taking enquiry & pass information to Enrolment team
• Receive complaints from Parents and transfer to manager, deputy principals, Principals.
• Receive mails and deliver to the appropriate person
• Send courier via UPS/DHL or EMS
• Take care Promotional documents displayed at Reception
• Support parents to log in the AIS service pages
• In charge of Reception’s account and Admin’s account.
II. ATTENDANCE OFFICER:
1. Control the Late & Going home early books
2. Report to Deputy Principals if there is any problem regarding Students’ Attendance
3. Parents contact for early leavers, lateness, sickness or absence
4. Receive Student Leave Request Forms & pass to Enrolment Coordinator to put in the Students’ file
5. Update Managebac Attendance, Email and SMS parents if there is a student absent without notice
6. Email to teachers if there is a student absent without any comment
7. Email Absent list to PAs at 11am every day for Evacuation purpose
III. STUDENT SERVICE
1. Oversee the Student Service of AIS so that it presents a positive and professional image to our parents & students
2. Lost & Found items
3. Support Medical Centre with Vietnamese parents
4. Receive students and parents’ questions & requests and pass to appropriate staff
5. Receive & transfer items or request for staff, parents & students
6. Notice boards update
7. Making student ID cards for Secondary new students
8. Taking students’ photo and upload new students’ photo to Phoenix
9. Doing Primary Student Entry Pass, parents’ car labels.
10. Supporting lunch selection for Kinder & Primary students & updating lunch list for teachers & support teachers weekly
11. SMS parents when requested
12. Receive passports & documents for camps
IV. ADMINISTRATION
1. Staff ID Card, taking Staff photo, Staff finger print
2. Updating the school contact list for academic staff, AIS extension numbers
3. Supporting lunch order in Summer & Winter School Programmes.
4. Assisting Administration Manager with Hire Facilities, Homestay & Claim Insurance procedure as details below:
a. Hire of facilities:
• Contacting with hirer and make a new agreement
• Follow up payment and refundable
b. Homestay:
• Contacting landlord if guest requirement
• Making the agreement for landlord and guest.
c. Insurance: Following flow chart of insurance
• Record details of accidents to database
• Sending feedback and result from JLT and informing to parents
d. Making the forms such as late bus, late pass, student going home early ect.
e. Holiday programmes; support colleagues with printing class lists, consulting parents and on orientation day.
