Asian Assistance, is looking for a qualified candidate to join our Operation Team, where Your role is to ensure that both new and existing clients receives the absolute highest quality service and support.
Your will be a part of our Operation Team, which is operating 24 hours a day – 365 days a year – from our head office in Bangkok.
Location: Asian Assistance Representative Office in Hanoi, Vietnam
International Travel & service coordinator Job Duties:
- Maintain regular working hours at the Asian Assistance office, Vietnam as determined by headquarters.
- Be on call to support the headquarter.
- Maintain accurate records of payment tasks assigned by headquarters and regular reporting to headquarters via various reporting platforms.
- Is responsible for the collection of original documents received at the Vietnam office and send original documents to headquarter (end of each month).
- Assisting insured and clients in the best possible way with customer-oriented service.
- Liaising between insurance and government hospital and/or agency/ facility/embassy/undertaker in Vietnam as require by headquarters.
- Assist headquarter in obtaining information from facility/clients in prompt and precise/accurate manner.
- Maintains good communication practices and actively participate in regular online meetings for training, feedback and reporting.
- Provides coordination and support to headquarters with service providers in Vietnam on behalf of Asian assistance e.g. setting up meetings, obtaining documents.
- Actively seeks out and maintains working relations with potential service providers that will be beneficial to our Asian Assistance provider network.
- Support case handling requests from headquarters and other assigned tasks as mutually agreed upon.
- Assisting in translation tasks (Vietnamese to English).
- In-charge for non-medical logistic arrangements: car transfer hotel booking, coordinating with our travel desk and driver in charge (in Vietnam).
- Travel to represent the company when required
- Or other task as assigned by headquarter (we should preferably find task / projects / information to be entered to database or other for branches to work on to avoid idle time)
To be considered for the position you will need the following:
- Vietnamese nationality (male or female).
- Excellent oral and written communication skills in English.
- Proficiency in use of computer program for Microsoft office suite (word, outlook, excel).
- Flexible, team player, “get-it-done” personality.
- Ability to organize and plan work independently.
- Ability to work in a rapidly changing environment.
- Ability to multi-task and context-switch effectively between different activities and teams.
- Ability to maintain professionalism in all situations.
- Service minded.
- Able to work independently and under stress.
- Willing to work according to a shifting schedule including night, weekends and public holidays.
